13 sections

1. Who we are and what this policy covers

PressWhizz Media LLC, a New Mexico limited liability company at 1209 Mountain Road Pl NE Ste N, Albuquerque, New Mexico 87110, United States ("PressWhizz", "we", "us"), operates the PressWhizz website, platform and related services. This policy explains how we collect, use and disclose personal information about visitors, advertisers, publishers, prospective customers and people communicating with us.

For privacy enquiries and requests, contact support@presswhizz.com. This policy provides information about our practices; using our services or reading this policy does not by itself constitute consent to processing that requires separate consent under applicable law.

2. Information we collect

Information you provide may include your name, preferred name, username, email address, company, postal or billing address, phone number, country, account credentials and preferences. Depending on how you use the services, we also receive enquiries, support messages, order instructions, briefs, uploaded articles and files, target website URLs, publication details, approval records and other communications. Not every field is collected at registration; information may be provided later for billing, support or fulfilment.

For payments and accounting, we receive transaction references, amounts, payment status, refunds and billing records. Payment processing is handled by Stripe, PayPal or another provider expressly made available for the transaction. We do not store full payment-card details ourselves. Providers may retain payment information under their own policies. For publisher payments or legally required records, we may request identity, address, tax identification and payout information where needed.

We collect technical and usage information through the service and tracking technologies, such as IP address, browser and device information, approximate location, referral source, pages viewed, interactions, timestamps and identifiers associated with browsers or advertising. The information collected depends on the features used and technologies enabled.

Where Google sign-in is available and you choose to use it, we receive the profile information and account identifiers disclosed in the Google authorisation process, such as name and email address. We do not receive your Google password. We may also receive information from authorised account users, agency customers, publishers, payment providers, advertising and analytics providers, referrals and publicly accessible business websites.

3. How we use information

We use information to create and administer accounts; arrange and fulfil placements and managed campaigns; prepare and review content; communicate about registration, account setup, onboarding, verification, security, support and orders; process payments, refunds and publisher payouts; provide support; maintain records; verify publishing authority; prevent fraud and misuse; secure, troubleshoot and improve the service; and meet legal obligations or establish and defend legal claims.

We also use relevant contact, account and interaction information for customer relationship management, onboarding and follow-up sequences, newsletters, offers and other marketing. We use website and advertising interactions to analyse performance, measure conversions, attribute sales and retarget visitors with advertisements.

Where a law requires a legal basis for processing, the applicable basis depends on the activity: performing a contract or taking requested steps before a contract; complying with legal obligations; legitimate interests in operating, securing and improving our business and communicating with relevant contacts where permitted; or consent where required. Applicable consent requirements are not replaced by these descriptions.

4. Who receives information

We disclose information to service providers and professional advisers where relevant to their work for us. Recipient categories include payment processors; hosting, storage and infrastructure providers; account and authentication providers; email, messaging, telephone, customer relationship management and support providers; analytics, attribution and advertising providers; content-production and AI service providers where used; accounting, legal and security advisers; and contractors assisting with service delivery.

We share the relevant order materials and instructions with publishers, writers and fulfilment suppliers so they can carry out the purchased work. We may share relevant listing, order, completion and dispute information with the advertiser, authorised agency or underlying client where appropriate for the transaction. Private billing and personal contact details are not needed for every fulfilment task and should not be included in an order brief unless necessary.

Authorised users in the same customer organisation may access information made available through their account permissions. We may disclose information where required by law, to respond to valid legal process, protect rights and safety, investigate fraud or enforce agreements. Information may be disclosed to advisers or prospective counterparties in a merger, financing or business sale, subject to appropriate confidentiality protections, and transferred as part of that transaction.

5. Cookies analytics attribution and retargeting

We use cookies, pixels, tags and similar technologies for essential service functions, analytics, advertising attribution, conversion measurement and retargeting. Tools used may include Google services such as Google Analytics and Google Tag Manager, Meta technologies and HYROS. Google Tag Manager manages deployment of tags; the information collected depends on the tags enabled. Our CRM and email providers may also record interactions with communications.

Advertising and attribution providers may receive identifiers, browser and device information, website interactions and conversion events. Advertising providers may combine information with data from other sites or their own services to measure campaigns or personalise advertising. Such disclosures may be classified as sharing, targeted advertising or sale under some privacy laws, even where no money is paid for the information.

We currently do not provide an on-site cookie preference centre. You can use browser settings to block or delete cookies, device privacy settings, and available advertising-provider preferences to limit certain tracking. These tools may not stop every form of collection or advertising and may need to be applied on each browser or device. Blocking essential technologies may affect service functions. You can also contact support@presswhizz.com about your privacy choices and any applicable advertising opt-out rights.

Where applicable law requires prior consent or recognition of a statutory opt-out signal, those requirements apply independently of this policy. Browser controls and a request sent after tracking has occurred do not substitute for prior consent where it is required.

6. Marketing communications and choices

People who register, enquire about our services or otherwise provide contact details may be added to onboarding, follow-up and promotional email sequences. We may use email and, where the required permission has been obtained, WhatsApp for signup messages, onboarding assistance, account or security matters, support and updates or requests relating to orders, approvals, payments or payouts. Providing a phone number or accepting general Terms does not by itself constitute permission for WhatsApp contact or marketing where a separate opt-in is required.

We may introduce manual telephone contact by our team using the phone number you provide. Such calls may concern account setup, genuine verification or security matters, support, an order, or onboarding assistance. Where permitted and subject to applicable permissions and preferences, calls may also concern our services, offers or sales follow-ups. A sales call is treated as sales contact even if it follows registration. This policy does not describe an existing telephone-calling programme or authorise automated, prerecorded or AI-generated calls.

To stop promotional emails, contact support@presswhizz.com with an unsubscribe request, or use an unsubscribe option provided in the message. You may ask us to stop WhatsApp messages by replying STOP or otherwise telling us, and may ask our team or support not to make promotional calls. A channel opt-out does not automatically prevent necessary service messages through another available channel. We will apply requests to the relevant communications and retain the minimum suppression information needed to respect them. We process opt-out requests within the period required by applicable law.

Where consent or a channel opt-in is required, it must be obtained through a clear disclosure and an affirmative choice covering PressWhizz, the relevant channel and the stated purposes. We may keep records of the permission, including the wording presented, account or contact details, time and source, and subsequent preference changes. Agreement to our Terms, acknowledgement of this policy and permission for optional marketing serve different purposes; one does not automatically replace another. Essential account, transaction, legal and security messages are distinguished from promotional communications.

7. Content production and AI supported services

Where used to deliver or support the services, AI tools may assist with drafting, editing or reviewing articles, analysing briefs or relevant website content, and organising or responding to service enquiries. Inputs may include the content, instructions and relevant service information needed for that task. We may use public website material to understand the subject, language and context of commissioned work.

This describes the purposes for which AI assistance may be used; it is not permission for unrelated use of account information. Avoid submitting sensitive personal information or confidential information not needed for the requested task. Service information should be limited to what is reasonably necessary for the relevant purpose. Any materially different use of personal information requires appropriate notice and any authorisation required by applicable law.

This policy does not represent that every AI provider has identical retention or model-training terms. You may contact us about AI processing relevant to your order or to discuss a restriction before supplying sensitive or confidential material.

8. Customer references and case studies

Our Advertiser Terms and any separate agreement govern permission to use customer organisation names, logos and case studies. Corporate branding permission does not by itself authorise publication of identifiable individuals’ personal information. Any use of personal information for publicity must have an applicable legal basis and necessary permissions.

Named case studies may include accurate descriptions of service use, genuinely anonymised order examples and ranking or visibility data from public sources or tools we are authorised to use, subject to the applicable contractual permissions. Private placements, spend, communications and other protected information remain subject to the confidentiality and publicity restrictions in those agreements.

You may request a publicity opt-out through the platform or website contact form, as described in the Advertiser Terms. Privacy requests concerning personal information can also be sent to support@presswhizz.com. Publication on a third-party website creates a separate public copy; requests to alter that copy may require coordination with the publisher and remain subject to applicable rights and legal obligations.

9. How long we retain information

We retain personal information for as long as reasonably necessary for its purpose, taking account of the account relationship, outstanding orders, payment and payout records, the placement guarantee, legal recordkeeping requirements, disputes, limitation periods, fraud prevention and security needs. Different information may therefore have different retention periods.

When information is no longer needed, we delete it or make it no longer reasonably identifiable, subject to backup and legal-retention requirements. Account deletion does not necessarily require deletion of transaction records or evidence needed for an existing dispute or legal obligation. We may retain minimal marketing suppression records to honour an opt-out and information that is genuinely anonymous for analysis.

10. Your privacy requests

Depending on applicable law and the relevant circumstances, you may have rights to access or receive a copy of personal information, correct it, request deletion, obtain a portable copy, restrict or object to certain uses, withdraw consent where relied upon, and opt out of qualifying targeted advertising, sharing or sale. Some laws also provide an appeal right or a right to complain to a regulator. These rights are subject to applicable exceptions and do not apply identically to every person or processing activity.

Send requests to support@presswhizz.com, identifying the account and what you would like us to do. We may reasonably verify your identity or an authorised agent’s authority before disclosing or deleting information. We respond within applicable legal time limits and explain any restriction or refusal where required. If you believe we handled a request incorrectly, reply asking for a review or appeal.

Where applicable, you may complain to your local data-protection or privacy regulator. We will not discriminate against you for exercising a protected privacy right. Some information is necessary to perform requested services, so deleting it or restricting its use may prevent us from providing those services.

11. International processing and security

PressWhizz is based in the United States and works with service providers and fulfilment suppliers in different countries. Information may be stored, accessed or processed in the United States and other countries whose privacy laws differ from those where you live. International processing remains subject to applicable legal requirements; use of the service is not itself a waiver of those requirements or consent to a transfer that requires separate authorisation. Contact support@presswhizz.com for information about processing locations and any safeguards applicable to a particular transfer.

We use reasonable administrative, technical and organisational measures intended to protect information. No online system or transmission is completely secure. Protect your account credentials and promptly report suspected unauthorised access or disclosure to support@presswhizz.com.

12. Children and third party services

Our services are intended for adults and are not directed to children under 18. We do not knowingly collect children’s information for an account. If you believe a child has supplied personal information, contact us so we can investigate and take appropriate action.

Third-party websites, payment services, authentication providers and published articles may be subject to their operators’ privacy practices. Review their policies when using them. Our policy does not control information collected independently by those third parties.

13. Changes and contact

We may update this policy as our services and practices change. We will update the date above and give additional notice of material changes where appropriate or required by law, including through the platform or email. Where a new use requires consent or another legal step, posting an updated policy alone does not supply it.
